Annual billing is about two months cheaper than paying month to month.
What a seat is
Section titled “What a seat is”A seat is one paid member — an admin, a manager, or a member.
- Guests never take a seat. Not viewer guests, not editor guests.
- A pending invite holds a seat until it is accepted or revoked, so an invite you forgot about is still costing you. Revoke stale invites.
- Add or remove seats anytime. The difference is prorated automatically.
You pay for the people who actually use dotby, and nothing else.
Guests are free, in two flavors

So a five-seat Pro workspace can have 25 editor guests and any number of viewer guests, for no extra cost. This is the point: bringing a client or a contractor into one project should not require buying them a full seat.
What Free includes
Section titled “What Free includes”Free is a real plan, not a demo. Up to six people get:
- Tasks, sub-tasks, and relations
- Board and list views, saved views, swimlanes
- Filters, labels, and search
- Sprints and modules
- Dashboards and analytics
- Bulk actions
- Comments, reactions, and mentions
- Time tracking and timesheets, pay rates and reports
- All four roles, and every sign-in method
- A taste of the creative tools: 1 page, 1 whiteboard, 1 schema diagram
No credit card, no trial clock.
What Pro adds

The trial
Section titled “The trial”Every workspace can try Pro free for 14 days — full access, no credit card.
When it ends you pick a plan. If you stay on Free, you keep everything you made: the workspace simply returns to Free limits. Your data is never deleted.
What downgrading actually does
Section titled “What downgrading actually does”This is the question everyone asks and nobody documents, so:
- Nothing is deleted. Pages, whiteboards, chat history, and tasks above the Free caps all still exist.
- You cannot create more while you are over a cap. A workspace with twelve pages on Free keeps all twelve and cannot make a thirteenth.
- Pro-only surfaces stop being reachable until you upgrade again. Chat, API, MCP, and the audit log go quiet rather than losing content.
- Upgrade later and everything is exactly where you left it.
Downgrades take effect at the end of the billing period; upgrades take effect immediately.
A lapsed subscription is not Pro
Section titled “A lapsed subscription is not Pro”Worth knowing if a card expires: a subscription that goes past_due or
canceled falls back to Free limits, even though the plan still says Pro
in Stripe. Fix the payment method and access returns.

Where to manage it
Section titled “Where to manage it”Billing is admin-only, in workspace settings. Plan changes take two clicks, and every change is written to the audit log.
