Workspace settings

Esta página aún no está disponible en tu idioma.

Everything on this page is an admin setting. Most of them you touch once, in the first week, and then never think about again — which is exactly why they are worth ten minutes now.

dotby ships more surfaces than most teams want. Switch off the ones you do not use and the app gets smaller.

Module What it turns off
Chats Workspace channels and DMs
Project chats The chat tab inside a project
Wiki Workspace-wide pages
Project pages The doc tree inside a project
Whiteboards The canvas
Schema designer (ERD) Database diagrams
Office preview Inline Word / Excel / PowerPoint rendering
Initiatives The layer above projects

Turning a module off hides it for everyone, admins included — the sidebar tile, the command palette entries, the tabs, the menus. It is concealment, not a disabled button, so nobody discovers a feature they cannot use.

Turn it back on and everything that was there is still there. Nothing is deleted.

Set this once, on day one.

Every daily chart in dotby — burn-ups, snapshots, the day ledger — closes its day at midnight in your workspace timezone, not on a server clock in another hemisphere. A team in São Paulo should not have their Tuesday end at 9 p.m.

You can change it later. Recorded history stays exactly where it was; only future days use the new boundary.

Archiving is dotby’s answer to “the board is cluttered but I do not want to lose anything”.

Auto-archive files old finished work away on a schedule, and it takes two separate periods:

Setting Applies to
Completed after Tasks in a Completed status
Canceled after Tasks in a Canceled status

They are separate on purpose. “Done nine months ago” and “dropped nine months ago” do not age the same way, and a single setting forces a compromise that is wrong for one of them.

Archived tasks are never gone. Every project has one archive, newest first, and one click brings a task back to its original column.

Deletion is reversible everywhere it matters.

Deleted Recoverable for
A project 7 days
A whole workspace 30 days

Deleting a workspace also pauses billing automatically for those 30 days. If you change your mind, one click brings everything back — projects, history, and the subscription.

Projects carry their own toggles — which properties and tabs that project uses. Setting sensible defaults means project number nine is born configured the way your team works, instead of being configured by whoever happened to create it.

Leaving the company, or handing a client their own workspace?

Transfer ownership moves the whole workspace to a teammate in two clicks. Projects, history, members, and billing stay intact. Nothing is exported and re-imported, and no links break.

Project leads transfer the same way, at project level.

Every meaningful change is written down — who did it, when, and what changed. Role changes, permission grants, deletions, plan changes.

Reading the audit log requires either an admin, or a manager who has been granted the audit.view capability. See Roles and permissions.

Mark one status set as the workspace default and every new project starts with your team’s real workflow instead of the generic five columns.
